What is a Mailbox

Mailboxes are e-mail accounts that are checked by Tasks and any e-mails found in the account are used to create new tasks.

Note: after retrieving and creating tasks from the e-mails found in the mailbox, those e-mails are deleted. It is recommended that you create new e-mail accounts to use as mailboxes.

This feature can be very useful in a wide variety of ways.

  1. If you have a form on a web site that you'd like to have create new tasks, you can just have the information sent to a mailbox then turned into tasks with appropriate default settings.
  2. Have clients and customers e-mails entered directly into the system by having them send to an e-mail address that is a Tasks mailbox.
  3. Easily create tasks from e-mails you receive by forwarding them to a mailbox address so you can manage them in Tasks.
  4. Mobile users with Blackberry devices may find it easier to send in an e-mail to create a new task rather than using the mobile interface.

Each mailbox can be given different default task properties like date due, priority, etc. This information is configured on the Mailbox Screen.

A list of all mailboxes in the system can be accessed on the Mailboxes Screen.

You then need to set up a script to check mailboxes on a pre-set schedule (every 15 minutes, hour, etc.).
